Exhibition
delegation process
1️⃣ Sign the agreement
-
Sign an "Exhibition Organizing Commission Agreement" with the artist to clarify the responsibilities and cost sharing between the organizer and the artist.
2️⃣ Document Preparation
Artist biography, description of art activities, and records of past exhibitions (in Chinese/Japanese).
List of works (including images, dimensions, materials, year, and quantity requirements).
The exhibition theme and the desired display effect of the artist.
Copyright and exhibition authorization documents for the artwork (if required).
💡 We are responsible for compiling and translating the materials to form a formal exhibition proposal.
3️⃣ Venue matching and application
Select suitable art gallery/museum exhibition spaces based on the type, quantity, scale, and budget of the artist's works.
Submit an exhibition application as the organizer and confirm the schedule, usage conditions, fees, and technical requirements with the venue.
If necessary, organize communication meetings with the museum to adjust the exhibition plan until the venue is confirmed.
4️⃣ Confirm the venue
Planning the exhibition theme, spatial design, artwork display plan, and exhibition copy.
Sign a formal venue use contract with the art gallery/museum (the organizer is the contracting party).
Determine the exhibition setup plan, transportation and insurance plan, and relevant legal procedures.
5️⃣ Exhibition Implementation
Exhibition setup: Responsible for the transportation, insurance, installation, and lighting of the artworks.
Publicity: Design and print exhibition posters/brochures, write press releases in Chinese and Japanese, and coordinate media interviews.
Activities include organizing an opening ceremony, artist lectures, and public guided tours.
On-site: Arranging reception staff, photography and videography, and daily management during the exhibition.
6️⃣ Exhibition ends
Responsible for dismantling the exhibition and safely returning the artworks.
Organize exhibition images, audience feedback, and media reports.
We assist artists with publishing exhibition catalogs or applying for touring exhibitions, based on their needs. (We have our own publishing house and offer paid publishing services.)
📌 Role Positioning Explanation
We are the organizer of the exhibition, not an intermediary or agent.
Artists commission us → We, as the organizer → to hold exhibitions at art galleries/museums in Japan.
The artists are the "exhibitors," and we are the "organizers." This will be reflected in all documents and external publicity.
